The Application page shows a consolidated view of all your client invitations as well as ongoing client applications. It provides an easy starting point to check the status of any in progress client applications and also edit or send prefill applications.
As soon as you start adding a client's information using the prefill option, the application will appear on the applications view, even if you do not complete the prefill. This allows you an easy way to continue a prefill application at any time.
Filtering/Search
If you have a lot of applications in progress, there are multiple filters to choose from to find the application you are looking for. You can also search directly for a client by name or email address.
Actions Available
There are a number of actions that can be performed on an application depending on the current status of the application itself. The actions are as follows: Edit, Send/Resend, Delete.
Edit
The first icon from the left allows you to edit an application. This can be a prefill application that you have not yet completed, or an invitation that is sent to a client but the client hasn’t started working on it yet.
From the edit screen you can remove or add accounts, add transfer instructions, and add EFTs.
Please note that you will no longer be able to edit an application once a client accepts an invitation and starts on their portion of the application.
Send/Resend
If an application has not yet been sent to a client this button will send it. If it has been previously sent this button will send the application again. This can be useful if the client cannot find the email or deleted it by mistake.
Delete
This will delete the application. This only applies to applications that have been started but not yet sent, or sent but not yet opened by the client. If a client has already started the application by clicking the link in the email you will not be able to delete the application.
Application Status
An application can be in one of the following states:
Prefill not sent: You have prefilled part of the application but have not sent the invite to the client yet
Prefill sent: You have prefilled the application and have emailed it to the client
Application started: The client has started their portion of the application
Pending review: The client has completed their portion of the application. The application is now being reviewed by ModernAdvisor
Rejected by client: The client has declined your invitation to complete the application
Rejected by ModernAdvisor: ModernAdvisor has rejected the application
Approved: ModernAdvisor has approved the application. The application stays in this status until an account number is assigned.
By clicking on the status link for an application you can see a detailed breakdown of the current status of an application.
Automatic data deletion policy
As well as the client being able to delete their information directly, effective October 1, 2021, the ModernAdvisor system will automatically delete stale client data.
Once the data has been entered for a new client, there is a 30-day window before the client data will be automatically removed from the system if the client does not act on your invitation to open a ModernAdvisor account. To help you keep track of this, the applications dashboard will highlight old applications that are getting close to the deletion date.
Highlighted in yellow are the applications that are within 10 days of being deleted. Highlighted in red are the applications that are within 2 days of being deleted.
Once the application reaches the deletion date (30 days from creation) it will be automatically deleted. There will be no record on your dashboard to show that it existed.
Email notifications for expiring applications
A new email notification has been added to give you reminders for any upcoming applications that are expiring. You can turn on or off the notification from the Email Notifications dialog by selecting your name in the top right corner. It is turned on by default for all advisors.
If this is turned on you will receive a weekly email notification that lists all the applications that will expire in the next 10 days. You will also receive a notification for each individual application that will expire in 2 days.
This is to allow you time to follow up with the potential client prior to their data being fully removed from the system.
Expired Applications
When you view your dashboard you may see items highlighted in red as expired. Any client data that is marked as expired on your dashboard will be automatically deleted on October 1, 2021. Until then, you have the option of editing the application, resending the application to a client or deleting the application. This will allow you time to follow up with any potential clients and have them complete the onboarding if they wish.
Here’s an example of an expired application. This will be automatically deleted on October 1, 2021 if there is no action carried out by the client.
